Native Hyland OnBase Cloud Fax Integration

Replace RightFax, Cut Telco Costs, and Automate Patient Record Dissemination with eFax Corporate®

By integrating eFax Corporate® natively into Hyland OnBase via secure RESTful APIs, your health system eliminates legacy fax servers, reduces telecom overhead, and replaces fragile file-dropping routers with high-reliability, bi-directional cloud faxing directly inside your EHR workflows.

Hyland Onbase and eFax Integration

Eliminate On-Premise Infrastructure and Modernize OnBase Document Workflows

Legacy fax machines, analog lines, and fragile folder-dropping routers create administrative bottlenecks, dropped transmissions, and excessive maintenance overhead for health systems. While legacy solutions like RightFax rely on costly on-premise hardware and prone-to-fail file-drop methods, eFax Corporate® provides a direct, API-driven cloud fax architecture built specifically for Hyland OnBase.

Through our strategic partnership with Hyland Software, health systems can seamlessly route high-volume inbound and outbound faxes directly inside OnBase and core EHR environments:

Native API vs. Legacy File-Dropping Routers

Traditional OnBase fax setups rely on router-based file drops—a mechanism prone to dropped packets, file locks, and delayed indexing. The eFax Corporate® RESTful API integration establishes a direct, encrypted, bi-directional pipeline between eFax® and OnBase.

Feature Description Impact
API-Driven Bi-Directional Faxing Direct integration via Cloud Fax APIs ensures faster transmission speeds and eliminates file-dropping failures. Replaces legacy RightFax router-based file drops with secure, real-time API communication.
Up to 70% TCO Reduction Shift from heavy capital expenditures to a flexible operating expense model, eliminating long-distance fees, paper, toner, analog lines, and RightFax server maintenance. Consolidate telecom costs under a single cloud fax platform with predictable monthly billing.
Automated Document Classification Inbound patient records can be automatically classified by document type using Intelligent MedRecords or indexed by HIM staff within OnBase. Eliminate manual sorting and routing of incoming faxes with automated classification workflows.
Instant Clinical Access Clinicians gain immediate access to incoming patient records within their active EHR workflows via Hyland Clinician Window, OnBase Patient Window, or the Healthcare web viewer. Real-time document availability ensures faster clinical decision-making and improved patient care coordination.

Proven Enterprise Impact: Piedmont Health System

When Piedmont—one of Georgia’s largest health systems, treating 4.5 million patients annually—needed to modernize its document exchange, they selected eFax Corporate® to replace legacy on-premise fax servers across Hyland OnBase and Epic.

Faced with the hours required to track down and manually index records, Brown noted, “we could no longer afford to manage the data in that way,” emphasizing, “I just can’t tell you the benefit this has provided for our workforce and our clinical practices.”

End-to-End OnBase Inbound & Outbound Workflow Details

The eFax Corporate® integration with Hyland OnBase automates the complete document lifecycle, from inbound receipt through clinical access:

Inbound faxes sent from external healthcare providers are received instantly via the secure eFax® Cloud Fax Inbound API and electronically imported into OnBase for automated classification and quality checks.

Documents are automatically classified by document type using Intelligent MedRecords or routed to an HIM scan queue for batch indexing. If image quality issues exist, HIM staff can request an immediate resend for a higher-clarity image.

Initiated directly within OnBase utilizing native Task configurations. Staff populate a standardized OnBase Unity Form for fax-back details and recipient information. OnBase automatically packages the document and dispatches it via the eFax® Cloud Fax Outbound API.
