Reducing Compliance Risk
Cloud Fax Changes the Game for Compliance
Highly regulated businesses require a secure cloud faxing solution
The Consequences of Poor Fax Compliance
Failing to protect your business’ security and the privacy and security of your customers can have devastating consequences.
A 300-Year-Old Reputation is Ruined
The Bank of Scotland, now part of Lloyd’s Banking Group, breached the Data Protection Act. They wrongly divulged pay slips, bank statements and account details, as well as private information about their customers such as their name, address and contact information to third-party organizations. They also divulged this information to a member of the public.
This mistake occurred because both parties had fax numbers that were just one number off from the intended recipient, an internal department within the bank. As a result, they were the subject of an investigation by the Information Commissioner’s Office (ICO) and faced a £75,000 fine.
HIPAA Violation Results in a $400K Fine
A prominent hospital in New York City also found itself in hot water for failing to ensure that its fax services were secure. A staff member at Mount Sinai St. Luke’s faxed a patient’s highly sensitive protected health information (PHI) to that patient’s employer instead of to their personal post office box as requested. This resulted in a nearly $400K HIPAA settlement.
A Growing Problem
According to the Identity Theft Resource Center, in 2022, there were 1,802 data breaches. That’s just 60 short of the all-time record set in 2021. The International Data Corporation (IDC) reported that fax usage has increased by 82 percent in recent years. This means that more records and information than ever before could be at risk.
Consequences are Becoming Harsher
As the risk of data breaches rises, the consequences of failing to properly secure sensitive information are becoming harsher. According to the Ponemon Group, the average cost of a single data breach is estimated at $4.45 million. This is a 66 percent increase over the previous cost. In addition to paying to secure your data, businesses may face other consequences, including fines from the Securities Exchange Commission (SEC).
eFax Corporate Compliance
The eFax Corporate family of products is designed to comply with a variety of financial security and privacy regulations, student education record privacy requirements and more.
eFax Secure and Sfax
eFax Secure and Sfax services are two maximum security products from the eFax Corporate portfolio. Both services automatically encrypt incoming faxes using AES 256-bit and notify the user’s account via email when a new fax is available. This email notification has a personal URL. When a user clicks the URL, a TLS connection to a secure HTTPS website is made. The user must then log in with their user ID and a strong password. Multi-factor authentification can also be required to view or download faxes. Encrypted and secure faxes can be stored indefinitely, reducing strain on local email servers or storage devices.
eFax Developer™
The eFax Developer™ Secure Fax API is designed for high-volume fax environments, including national pharmacy chains, payment processors, and other businesses that need to integrate fax into their production faxing workflow processes. eFax Developer implements TLS 1.2 encryption for faxes in transit, and AES-256 bit for faxes at rest in storage.
Why Companies Rely on eFax Corporate
eFax Corporate is an enterprise-level, cloud-based fax-by-email solution used by some of the world’s leading corporations.

eFax Corporate’s portfolio of products each meets the stringent requirements for secure data transmission. This includes 256-bit encryption and certificate-based authentification via Transport Layer Security (TLS) v1.2, in compliance with the recommendations of the National Institute of Standards and Technology (NIST).
While the Payment Card Industry’s Data Security Standard (PCI-DSS) recently began requiring that anyone performing online credit card transactions secure their websites with a minimum of TLS v1.1, eFax Corporate has long been ahead of the curve with fully compliant and secure TLS v1.2. NIST recommends the Advanced Encryption Standard (AES) with a key strength of at least 128-bit, while eFax Corporate takes that to a higher level with encryption of 256-bit.
